What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

How long we retain your data

It is Zealandia’s (“We,” “Us,” “Our”) intent to safeguard and protect the privacy and security of its
employee’s personal information collected that identifies, relates to, describes, references, is capable of
being associated with, or could reasonably be linked, directly or indirectly, with an employee or device
(“personal information”). This notice is intended to inform you as an employee of Zealandia or one of
our affiliates and/or subsidiaries of the personal information that we collect and why we process this
information. Please take a moment to become familiar with our privacy practices as described below.
The Information We Collect
We collect information that identifies, relates to, describes, references, is capable of being associated
with, or could reasonably be linked, directly or indirectly, with a particular individual or device
(“personal information”). We obtain the following categories of personal information from you when
you apply for and are employed by Zealandia:

Information about an employee’s educational background, such as
education records and transcripts that are not publicly available and any
additional information not listed here that you include within your resume.

In addition to the personal information elements outlined above, we also obtain the following
categories of sensitive personal information from you as an employee with us:

How We Use the Information We Collect
Please note that, except as described below, Zealandia does not sell or share any of your personal
information. We primarily use the information we collect from and about you to:

 To conduct employment-related screenings and checks during onboarding.
 To administer benefits, such as medical, dental, vision, and retirement benefits.
 To pay and reimburse for expenses, including salary administration, payroll management,
payment of expenses, and to administer other compensation-related payments.
 To assist you in case of emergency, including maintenance of contact details for you and your
dependents in case of personal or business emergency.
 To a facilitate better working environment, including providing senior management information
about other employees and conducting training.
 To ensure a safe and efficient working environment, which includes Zealandia’s actions relating
to disciplinary actions and code of conduct processes and investigations.
 To maintain security on Zealandia’s websites and other internet connected assets, which
includes hosting and maintenance of computer systems and infrastructure, management of
Zealandia’s software and hardware computer assets, systems testing, such as development of
new systems and end-user testing of computer systems, training, and monitoring email and
Internet access.
 To comply with applicable law or regulatory requirements, such as regional, country or trade
union legal obligations and internal company reporting obligations, including headcount,
management information, demographic and Health, Safety, Security and Environmental
reporting.
How We May Share the Information We Collect
We share your personal data in the following ways:
 In order to perform a background check and drug screen on candidates, we send identifiable
information, such as your name and address to third-party background check and third-party
drug testing companies in your local area. (Please note: This is only applicable to employees in
the United States).
 In order to provide you with employee benefits, we may share your personal data with our
benefits administrator and benefits providers such as medical and pension providers.
 In order to fulfill our employee contract with you, we may share your personal information with
additional processors, such as payroll processors, learning management system providers, etc.
 If requested or required by government authorities, such as law enforcement authorities,
courts, or regulators, or otherwise to comply with the law, we may disclose any information we
have about our users. We also may disclose information collected about you in order to exercise
or protect legal rights or defend against legal claims.
How We Store the Information We Collect
We retain most employee records collected during the tenure of their employment at Zealandia for up
to 7 years post-employment dependent on the record type. We retain any additional information we
collect about and from you for as long as necessary to fulfill a business purpose or comply with a legal
request. We may also choose to anonymize certain of the information you provide to us so that it can no
longer be attributed to you if we would like to retain it for longer periods of time.
Security
Zealandia takes the security of your personal information very seriously. We have implemented
commercially reasonable security measures that are designed to prevent unauthorized or unlawful
access to and misuse of the information we collect, including technological and physical security

measures as well as procedural safeguards. However, because no security system can be 100% effective,
and we cannot completely guarantee the security of any information we may have collected from or
about you.
Special Notice to Individuals in the European Union / United Kingdom
The following section applies only to employees currently located in the European Union or United
Kingdom.
We primarily use the information we collect from and about you to perform our contractual obligations
as an employer and to enable us to comply with our legal obligations.
Zealandia works diligently to keep your personal data up to date and accurate. You have the following
rights with respect to the personal data we hold about you subject to certain exceptions provided under
the General Data Protection Regulation (GDPR):
 The right to request access to the personal data we hold about you;
 The right to request the rectification of any incomplete or inaccurate personal data we hold
about you;
 The right to request we delete specific personal data we hold about you;
 The right to request we restrict the processing of your personal data;
 The right to request objection to the processing of your personal data; and
 The right to request the personal data we hold on you be ported to another controller.
Where processing is based on your consent, you also have a right to revoke this consent. If you would
like to exercise any of the rights listed above, please contact us by using the contact information
provided below. If you are not satisfied with our response to your questions, you also have the right to
make a complaint to your supervisory authority.
